This platform exists to help everyone contribute to improving the business and to ensure that positive contributions are visible and valued.
The Suggestion Scheme allows you to turn everyday ideas into measurable improvements. The Recognition feature allows you to publicly acknowledge colleagues for actions that make a difference.
When ideas are shared and contributions are recognised, engagement increases. Increased engagement leads to better collaboration, stronger performance, and measurable operational impact.
This guide explains how to use each feature clearly and practically for users and administrators, who have additional admin functions.
1. Getting Started
Logging In
Use your registered user details to log in to the application. Enter your full name exactly as registered and your login credentials when prompted.
If you are unable to log in, contact an administrator to reset your login details.
Session Timeout
Your session will expire after 8 hours of inactivity, but if you tick Remember Me during Login then it will persist for 30 days. If you are logged out then log in again to continue. No submitted data is lost.
2. Your Profile
Profile Photo
Your profile photo appears on suggestions, comments, recognitions, and on the display wall.
To update your photo:
Click your photo or initials in the header.
Upload a JPEG, PNG, or HEIC image.
Save your changes.
Choose a clear, professional image. This increases recognition visibility across the organisation.
Email Settings
You can add and verify your email address to receive notifications about:
Comments on suggestions you follow
Status changes to your suggestions
Recognitions you receive
Daily suggestion summaries
To set up:
Open Email Settings
Enter your email address
Verify using the link sent to your inbox
3. Suggestion Scheme
The Suggestion Scheme provides a structured way to submit, review, and track improvement ideas. Every suggestion moves through a defined review process and can generate measurable savings.
Submitting a Suggestion
To submit a suggestion:
Click New Suggestion
Complete all relevant fields
Click Submit
When writing your suggestion, focus on clarity and impact. What good looks like:
Less effective:
"Improve communication".
More effective:
"Introduce a 15-minute weekly cross-team update to reduce duplicated production scheduling errors, saving approximately 2 hours per week."
Strong suggestions clearly describe:

Savings and Costs
If your idea creates financial savings or waste / cost reduction, enter the estimated saving per occurrence and the frequency. The system calculates the annual saving automatically. Be realistic and practical. If you are unsure, provide your best estimate and explain your reasoning, otherwise leave as 0.
Similarity Detection
If AI similarity detection is enabled, the system checks for similar ideas before saving. If similar suggestions appear:
Review them carefully
If your idea is already covered, consider supporting the existing suggestion
If yours is different, explain clearly how it differs
This reduces duplication and improves overall idea quality.
Suggestion Statuses
Each suggestion progresses through:
To be reviewed
Pending
Accepted
Rejected
If your suggestion is not accepted, reviewer notes will explain the reasoning. Every decision is recorded in the Activity tab for transparency.
Voting and Commenting
You may vote and comment on suggestions.
When commenting:
Keep comments constructive
Focus on improving the idea
Avoid personal criticism
Effective comments strengthen ideas and encourage collaboration.
Following Suggestions
Follow suggestions to receive updates. You automatically follow your own submissions.
4. Recognition
Recognition makes positive contribution visible. It reinforces behaviours that improve performance, safety, teamwork, and customer outcomes. Recognition is short, specific, and focused on impact.
Sending a Recognition
To send recognition:
Go to the Recognition page
Select the colleague
Choose a category
Write a short message
Click Send
What good looks like:
Less effective:
"Great job."
More effective:
"Thank you for staying late to resolve the customer order issue. It prevented a missed shipment and protected our delivery target."
Good recognition:
Describes the action
Explains the impact
Reinforces positive behaviour
Recognition is public and visible to colleagues. Keep messages professional and meaningful.
Responding to Recognition
If you receive recognition, you may respond once. A short thank-you response reinforces positive culture and acknowledges the sender.
Liking Recognitions
You may like recognitions to show support. This increases visibility and reinforces positive actions.
Recognition Participation
Regular participation builds a strong culture. The system may display monthly recognition goals to encourage steady engagement.
5. Display Wall
The Display Wall is a full-screen view designed for office screens and shared spaces. It rotates recent recognitions and shows key statistics such as:
Annual savings from accepted suggestions
New and accepted suggestions this month
Recognition goal progress
The Display Wall reinforces visibility and shared progress. Seeing contributions displayed publicly encourage continued participation.
6. Admin Guide
This section applies only to administrators.
Dashboard Statistics
Administrators see summary statistics including:
Total suggestions
Pending suggestions
Accepted suggestions and total savings
Rejected suggestions
Annual savings totals
These provide a high-level performance overview.
Reviewing Suggestions
Administrators can:
Change suggestion status
Edit fields
Add reviewer notes
Assign ownership
Track savings dates
Reassign suggestions
Delete suggestions if necessary
Delete Recognitions if necessary
All changes are logged in the Activity tab for audit purposes.
Review decisions should be explained clearly in reviewer notes to maintain transparency and trust.
Flagged Comments
If enabled, comments on Accepted or Rejected suggestions can be automatically flagged for review. This ensures professionalism and appropriate discussion.
User Management
Administrators can:
Manage user roles
Reset login credentials
Disable user access
Manage departments
Update application settings
At least one administrator must remain active at all times.

Administrators can configure:
Company name and logo
Recognition naming
Monthly goal multiplier
Recognition categories
Email configuration
AI similarity detection
